Conversation on phone became tha part and parcel of our lives. These days we are using too many devices for tele-conversation, whether it is a landline, a cell phone, or a service like skype to make calls and it became a big part of our daily lives. We talk on telephone most of the day with family, friends, consulting with clients, employees and employers. The point is are we really using the phone effectively as a real professional that requires some manners on the telephone. It is very important to show respect and be polite with anyone, whether you know them or not. The important thing is – it’s not what you say, but how you say it.
Phone etiquette – Good mannerisms
Good manners are good for any business, office or organization, while great manners can set you apart from the crowd. The prevalent quibble business phone systems can do more harm that good, if proper phone etiquette is not followed. it is necessary to take care of customers over the phone and make them feel satisfied. Moreover, the customers who are satisfied will become loyal, and loyal customers are repeat purchasers, and desired brand advocates and surely come back to your organization for your services.
The company representatives who do not hav good phone etiquetter will lose sales and this type of behavior plays major role in losing customers. Always treat your callers in a way that you would like to be treated on a business telephone call.
No matter, whether you are the front office receptionist or an executive secretary or a business development manager, the following phone tips should invariably be followed without fail:-
- Speak clearly and lower your voice, if you normally speak loudly
- Avoid having anything in your mouth which would obstruct your flow of words
- Do not use slang words or poor language
- Always identify yourself properly
- Make business calls well before the closing hours
- If dialed wrong number, simply say sorry
- Smile, though nobody watches, it shows over the phone
- Address the caller properly by his or her title
- The correct way to answer a telephone is HELLO
- Always make brief conversations with busy people
- Don’t make any emotional conversation in public
- Don’t use loud and annoying ring tones
- Never multi-task by making calls while shopping and banking
- Use an earpiece in high traffic or noisy locations
- Don’t type or shuffle papers while you are on phone
- When you put the phone down, do it gently
- Cover your mouth, when sneezing and coughing
- Speak directly into the receiver – avoid putting the phone between shoulder and the neck
- Always ask if you can put the caller on hold, when you have to hold
- Always end the talk with – Have A NICE DAY or IT WAS NICE SPEAKING WITH YOU
